Follow-up

Follow-Up Email Templates for When There Is No Reply

Most follow-up templates assume you know nothing about what happened to your first email. With open and click tracking, you do. Here are four short templates, each matched to a real situation, and the timing that fits each one.

Table of contents

1. The email was never opened

After two or three working days with no open, the problem is visibility, not interest. Resend with a new subject line, shorter and more specific.

Subject: Q4 proposal for Northwind, 3 options
Hi Sarah, resending in case my last email got buried. The proposal is attached, with three options depending on your budget. Happy to walk you through it in 15 minutes.

2. Opened once, then silence

It was seen, but not acted on. Wait four or five working days, then add something useful instead of asking for an answer.

Hi Sarah, one thing I did not include: a short case study from a team your size, with the numbers after three months. Here it is if it helps the discussion.

3. Opened several times

Someone keeps coming back to it, often because it is being discussed internally. This is the moment to make the next step easy.

Hi Sarah, if it would help your team decide, I can join a 20 minute call to answer questions directly. Does Thursday or Friday work?

Why repeated opens matter is covered in why an email is opened several times.

4. A link was clicked

A click tells you what they looked at. Answer that question before they ask it.

Hi Sarah, since pricing is usually the first question, here is how the three options compare over a full year, and what most teams of your size choose.

Three rules for every follow-up

  • One idea per follow-up. A new piece of information or a single question, never both.
  • Never mention the tracking. Use it to choose the moment, not as an argument.
  • Know when to stop. Three follow-ups is usually enough; see how many follow-ups is too many.

Conclusion

A good follow-up answers what the recipient is actually doing with your email. Tracking tells you which of the four situations you are in; the template does the rest.

Frequently asked questions

How long should I wait before following up?

Two to three working days for an unopened email, four to five for an email opened once, and as soon as possible for repeated opens or a click.

Should I reply in the same thread?

Yes for situations two to four, so the context stays visible. For an unopened email, a fresh subject line gives it a second chance.

Can I track my follow-ups too?

Yes. Each email you send with Tracking ON is tracked on its own.
